2. Activities of the society
The Society offers various membership, conference, prize, journal and other services (the “Services”) which are delivered via Websites (which can be found at www.jscb.gr.jp), in print, and at various physical locations. The Society publishes a scientific journal titled Cell Structure and Function (CSF), which is a peer-reviewed and published online (at www.jstage.jst.go.jp/browse/csf) as well as in print. Detailed information about the journal can be found at www.jscb.gr.jp/csf/en/. The Society undertakes manuscript handling and peer review via the ScholarOne manuscript tracking system, which is available at mc.manuscriptcentral.com/csf.
3. What data and/or personal data are collected?
Personal data is provided by you or collected by the Society when it is necessary and relevant to fulfill its functions and goals. Details such as your name, address, email address, institution, phone number, fax number, financial information, academic resume and other information are collected and stored by the Society or its business service providers. Personal information is collected in various situations such as, but not limited to: when you submit an article for possible publication in CSF, when you undertake or your submission is subject to peer review for CSF, register and attend Society conferences, purchase print subscriptions to CSF, submit information for other purposes, or when the Society is assessing potential awardees of the annual Society prizes.
4. What is my personal data used for?
We use your personal data in various circumstances in relation to the Services provided by the Society only for the purpose for which you provided it.
We use it to communicate via email or postal mail for service-related issues (e.g., account verification, purchase and billing confirmations and reminders, changes/updates to features of the Service, technical, editorial, information and security notices). We are obliged to send you service-related emails, and you cannot opt out, as they are vital to the Society’s functions in maintaining, among other things, the veracity of the academic record. On occasion, we may communicate directly with you via email about activities of the Society. An option to opt-out or change your preferences is provided within each email or you can contact the Society using the contact details provided below.
When you attend a Society conference or meeting, the Society may publish your name and affiliation in the conference literature, at the venue and as otherwise appropriate to this context. If the Society awards you a prize and you accept it, the Society will publish your name, affiliation and other information on the Websites, in print and in other media as appropriate.
Cell Structure and Function is a scientific journal and as such publishes personal data in various situations. These include but are not limited to: Editorial Board members’ names and affiliations on the Websites and in print, author names and affiliations on the Websites and in print, an aggregated list of referees in each calendar year, and so forth. Third party aggregators often use the metadata and other information published by the Society in CSF, as is standard practice in scholarly publishing.
In the operation of our Websites, we use various technologies that result in the collection of a range of information, either collectively or individually, about our users. These are listed below.
We use Google Analytics to collect information about the use and usage trends of our Websites. This service collects information sent by your browser or mobile device, including the pages you visit and other information. Further, we automatically collect server log file information, which is reported by your browser or mobile device when you visit the Websites. This information includes anonymous information such as your web request, Internet Protocol (“IP”) address, browser type, number of clicks and how you interact with links on the Websites, domain names, landing pages, pages viewed, and other such information.
In the operation of the Society’s Websites and in providing Services, users may be directed to third-party websites such as the ScholarOne manuscript tracking system, J-STAGE, social media, advertising and other sites. The Society is not responsible for the privacy policies of these sites and has not control over the operation of them. Note that the Society is a “data controller” for the ScholarOne manuscript tracking system.
5. How is the information stored and protected?
Your information collected through the Society’s activities may be stored physically or digitally in Japan or any other country in which the Society or its third -party business providers maintain facilities. The Society uses reasonable safeguards to preserve the security and access to personal data collected through the undertaking of its Services. It utilizes operational, technical, and physical measure to protect your data, including restriction of physical access, encryption and roles-based access.
If you are located in the European Union or other regions with laws governing data collection and use that may differ from Japanese law, note that we may transfer personal information to a country and jurisdiction that does has different data protection laws to your area. You consent to the transfer of this information to Japan or any other country in which the Society, or its service providers, maintain facilities.
In the event that any information under our control is compromised as a result of a breach of security, the Society will take reasonable measures to investigate the situation and where appropriate, notify those people whose personal data may have been compromised and take other steps in accordance with applicable laws.
6. Who has access to the information?
Only people with the responsibility for a particular process wherein they have a need to know your personal data are provided access to your information. Information about confidentiality in relation to CSF is available in the Instructions to Authors document, published by the Society at the CSF Website.
7. What are our retention policies?
We retain data for the time appropriate to the purpose being fulfilled. We will retain and use your personal data as necessary to satisfy any legal, financial or other requirements, resolve disputes, or enforce our agreements and rights. The Society takes its obligations to safeguard the academic record, especially in regards to CSF, conferences and the awarding of prizes. As such, personal data in relation to these activities is retained indefinitely.
8. How and when do we share data with other entities?
We will not rent or sell your information to third parties without your consent.
The Society will share your information where required to do so by law.
We may share certain types of information through tools such as cookies, log files, device identifiers, and location data in the operation of the Websites with our third-party business providers. We may also present aggregated statistics of website use to third parties.
